Independent dealer playbook

Make every vehicle easier to find.
Make every inquiry count.

A practical marketing system for independent used-car dealers: accurate inventory, clear financing paths, local trust and follow-up that leads to real appointments.

For owner-operated lots, small sales teams and BHPH businesses. Free educational guide · Reviewed October 22, 2026

01 / Define the offer

Start with the way your dealership sells.

A vehicle shopper should understand what is available and what happens next. Keep the message consistent from post to vehicle page to conversation.

Retail & cash buyers

Lead with the actual vehicle, condition, mileage, price and useful ownership details. Invite the shopper to confirm availability and arrange a visit. Have a consistent process for explaining the full transaction price.

Outside financing

Explain that financing is arranged through participating lenders and depends on their requirements. Route applications to your approved secure system. An initial inquiry is not a credit decision or a lender approval.

Buy here, pay here

Explain your own program’s process, eligible inventory and requirements. Keep it distinguishable from outside-lender options. Verify any claim about credit checks, identification or approval against the exact program being advertised.

One vehicle, multiple paths: A shopper may buy outright, use a lender or ask about an eligible in-house program. Present the applicable options without promising the same down payment or approval outcome to everyone.

02 / Make inventory do its job

Build a useful vehicle page before promoting it.

A repeatable listing standard

  • Correct year, make, model, trim, VIN or stock number, mileage and availability.
  • Photos of the actual vehicle: exterior, cabin, cargo space, tires and relevant condition details.
  • Price presentation and fee explanations reviewed for your jurisdiction.
  • Verified features, condition notes and warranty information consistent with your paperwork.
  • One clear primary action: check availability, request a visit or use the secure financing application.

Use a mobile-friendly page per vehicle. Keep a single inventory source and a routine for correcting syndicated listings and removing sold units. Useful facts beat a long list of unsupported superlatives.

Choose a useful content angle for each unit.

Show rear-seat access for a family vehicle, cargo space for work use or a clear walkaround for a budget commuter. A short video should answer a buying question. Show actual condition; do not edit images to conceal material defects.

03 / Build local discovery and trust

Give nearby shoppers a consistent path to your lot.

Local search

Keep your business name, address, sales hours, phone and website accurate on Google Business Profile. Link shoppers to relevant inventory. Check current vehicle-ad and inventory eligibility before promising a Google listing feature.

Social & community

Share available units with a useful buying angle and a link to the vehicle page. Prioritize driving distance and audience fit, then group size. Identify the dealership, follow each group’s rules and avoid repeatedly posting sold inventory.

Proof after delivery

Invite honest reviews consistently. Respond professionally and resolve concerns through the right channel. Obtain permission before posting customer photos; keep financial details and application information out of testimonials.

For paid campaigns, choose one geographic market, one offer and one action. Check the platform’s current requirements for financing ads and permitted targeting. Increase spending only when inventory, response coverage and measurement are ready.

04 / Turn inquiries into kept appointments

A lead needs an owner and a next step.

  1. Respond with the answer first.

Confirm current availability, address the shopper’s actual question and offer a specific next step. Track response time during staffed hours and give an honest expectation outside those hours.

  2. Record the conversation.

Keep the vehicle, source, assigned salesperson, contact preferences, status and next follow-up date in your CRM. Deduplicate repeat contacts so one shopper is not counted as several leads.

  3. Confirm the visit.

Offer appointment options, confirm the location and recheck the vehicle before the customer travels. Explain any documents needed for the chosen financing path through your approved process.

  4. Close the loop.

Record shown, no-show, sold, still shopping or lost, with a useful reason. Follow communication permissions and opt-outs. Separate collection servicing from promotional messages in a BHPH operation.

Copy a first-response starting point

Hi [first name], this is [name] at [dealership]. As of [time], [vehicle] is [confirmed status]. [Answer the shopper’s question]. Would [option one] or [option two] work for a visit? We’ll recheck availability before you travel.

Copy an appointment confirmation

Hi [first name], confirming your requested visit at [dealership/address] on [date/time] for [vehicle]. Please reply if your plans change. [Name] will confirm the vehicle’s status before you leave. Contact us at [business contact].

Adapt these examples to the actual inquiry and your communication permissions. They are not bulk-message consent language or financing disclosures.

05 / Measure sales progression

Find the handoff that needs attention.

Enter actual counts for one defined group of inquiries and a stated period. Keep definitions consistent and allow enough time for those shoppers to complete the process. These figures describe your inputs; they do not forecast sales.

The prefilled values are fictional examples. Walk-in sales and sales without a shown appointment belong in a separate comparison.

How the measures work

Appointment rate = appointments set ÷ inquiries. Show rate = shown ÷ set. Close rate = sales ÷ shown. Cost per inquiry = spend ÷ inquiries. Marketing cost per sale = spend ÷ sales. A zero denominator is reported as unavailable.

Marketing cost per sale is not total acquisition cost or profit. Review gross, recon, transport, fees, commissions, overhead and any relevant financing or collection outcomes separately. A BHPH contract written today is not the same as cash collected over its life.

Record the first source and any important assisting channels. Compare sources by qualified conversations, kept appointments and sold outcomes. Check analytics and affiliate dashboards separately; a website click is not a vehicle sale.

06 / Choose tools around the process

Keep your dealer system at the center.

Evaluate your DMS and dealer CRM for inventory feeds, lead routing, follow-up, reporting and permitted integrations first. Add a tool only when it solves a defined gap. This guide is not a firsthand software ranking.

Your foundation check

Be ready before the next campaign.

Progress is saved on this browser when storage is available. This checklist stores no customer information.

One month of practical work

Your next 30 days.

Week 1 / Inventory and inquiry path

Audit a manageable batch of vehicle pages, remove sold units and test the contact path on a phone. Assign a lead owner and agree on staffed response coverage.

Week 2 / Follow-up and trust

Review recent unanswered inquiries, clean up duplicates and record next actions. Check local business details and establish a consistent review invitation after delivery.

Week 3 / One focused promotion

Choose an available unit or verified program. Create a useful post and walkaround, then distribute where relevant and permitted. If buying traffic, set a defined test budget and review point.

Week 4 / Learn and adjust

Review source, response time, appointments, shows and sales for the same inquiry group. Improve the weakest handoff and document the next experiment.

Accuracy is part of marketing

Build your review process into the workflow.

Have a qualified adviser review advertising for the states where you operate. Under Regulation Z, advertising certain credit terms—including a down-payment amount, payment amount or repayment period—can trigger additional disclosures. A short caption or generic “terms apply” line is not a complete review.

Check applicable Buyers Guide obligations and keep warranty representations consistent. Dealers that arrange or extend financing may have customer-information duties under the FTC Safeguards Rule. Use your approved secure application system for sensitive financial information.

Optional tool / Local visibility

Help nearby shoppers find your dealership.

Localo is an optional tool for monitoring local visibility and maintaining your Google Business Profile. Keep your lot location, sales hours, current photos and inventory link accurate before adding another subscription.

How to use it: Choose relevant dealer searches, review visibility around the lot, and track useful calls and actual showroom visits. A direction request is not a confirmed visit.

Localo offers local ranking maps, profile audits and weekly tasks, competitor monitoring, and review or post management. You can manage your Google Business Profile directly for free; paid software is optional. Review current plans, permissions and limits before signing up. No ranking, traffic or sales outcome is guaranteed.
